Job Descriptions
President
- Oversees SMUSA
Activities; Represents SMUSA to the University President and other
university officers.

Serves as host/master of
ceremonies for events when appropriate, approves activities of Executive
Staff & Board.

Makes organizational
decisions in consultation with the SMUSA Board.
-
Confirms appointments of
new officers with President-Elect, prior to voting.
-
Shall preside over
Executive Team meetings, Association Board meetings, Association General
Meetings, and call special meetings when necessary.
-
Creates the agenda for
Executive Team Meetings or delegates this responsibility to the
President-Elect when appropriate.
-
Should only vote in case
of a tied vote among the SMUSA Board.
-
Will attend scheduled
fall and spring training/planning retreats.

Shall serve as a resource on all
Association matters.
-
Shall maintain a working knowledge of the
Association budget and records of expenditures and revenue.
-
Shall have a working knowledge of
administrative procedures including University policy and procedure.

Shall work in conjunction
with the Director of Administration in regards to all official Association
correspondence.

Shall assist in the
training of the SMUSA Board.

Works with
President-Elect, appropriate Vice-President and Mustang Partners Chair in
securing the Athletics Contract yearly. (To be approved by the SMUSA Board.)

Shall assume other duties
as assigned by the SMUSA Board.
President-Elect
- Supports SMUSA
President.
- Works in conjunction
with the President to represent SMUSA to the University President and other
university officers.
- Oversees the
nomination process every spring and makes requests for nomination of new
officers and approves with SMUSA President, prior to voting.
- Develops the agenda
for each SMUSA Board meeting. Items for discussion may be submitted by
Executive Team members or by the individual chairs. The board agenda will
be approved by the Executive Team.
- Will submit a
Corporate Sponsorships plan at the summer retreat that will include goals
for the year. This plan will be approved by the SMUSA board.
- Manages corporate
sponsorship for the year as well as presents to potential new sponsors.
- Act as a liaison
between sponsors and SMUSA.
- Assumes the position
of President as their designee as directed by the President.
- Will attend
scheduled fall and spring training/planning retreats.
- Shall update and
produce a semester and yearly association calendar in coordination with
SMUSA Board.
- Shall
make any amendment changes to the constitution or bylaws within 48 hours
after an amendment has been formally approved.
- Shall
oversee a review of the constitution, bylaws, and job descriptions at least
every two years or as needed more
frequently, as determined by the Executive Team.
- Shall plan and
organize the annual Meet the SMUSA Board Social.

Past President/Staff Forum Chair
- Provides feedback to
SMUSA Board & Executive Team.
- Serves as Chair of
Staff Forum and reports to Executive Team on Staff Forum Activities.
- Presents ad-hoc
committee members for resolving Staff Forum issues to the Executive Team for
approval.
- Manages the web
voting process with ITS on www.smu.edu/elections.
- Manages and oversees
the past-president luncheon each year.
- Will attend
scheduled fall and spring training/planning retreats.

as assigned by the SMUSA Executive Team

Will maintain all
inquires from the SMUSA Staff Forum website inquire form, which is located
at
www.smu.edu/staffassociation.
Vice President, Development
- Oversees Staff
Development, Recognition Day, Scholarships, Boulevard and Silent Auction
Chairs and those activities associated with these committees.
- Will serve as the
liaison for all committee chairs to the Executive Team.
- Contributes to the
decision-making process as a member of Executive Team.
- Co-Manages the
planning process for the summer and mid-year retreats in conjunction with
the Vice-President of Programming and the Executive Team.
- Shall
serve as a resource on association issues to committee chairs.

meet individually with committee chairs on a weekly basis, if needed.

Treasurer
- Contributes to

records for the organization, performs deposits, pays expenses, and
reconciles the budgets.
- Collects luncheon
money and auction money from appropriate chairs.
- Works closely with
Scholarships Chair on work with endowed funds.
- Will present a
proposed budget to the Executive Team before June 1 of each year.
- Will present
proposed budget to the SMUSA Board for final approval during the summer
retreat.
- Shall work with the
individual chairs and assigned Vice-Presidents (Both Development and
Programming) to develop and manage their respective budgets.
- Shall manage the
association budget, in conjunction with the Executive Team.
- Will attend
scheduled fall and spring training/planning retreat.
- Shall manage the
complimentary ticket list and distribution of complimentary tickets to all
association events.
- It is at the
discretion of the Treasurer, as directed by the Executive Team to meet with
each chair to review the budget before their program takes place.

Will present an update of
the SMUSA budget at each board meeting and Executive Team meeting as
directed by the President.

Shall assume other duties
as assigned by the SMUSA Executive Team.
Director of Administration
- Keeps a binder of
SMUSA documents, invitations, agendas, etc. as they are produced and
distributed for historical reference and training.
- Produces
correspondence for SMUSA Executive Team and Board including condolence
cards.
- Provides recognition
for birthdays and acknowledgements and thank you gifts for guests.
- Shall
arrange for meeting rooms, take minutes and disseminate the minutes within 2
business days after each meeting for both the Executive Team and SMUSA Board
Meetings.
- Shall
assign someone to take meeting minutes in their absence.
- Shall be responsible
for all official communications and correspondence.
- Will maintain supply
list which includes gifts, letterhead, envelopes and so forth.
- As
office/storage space is identified, this position shall oversee the general
administrative duties in the office, such as copying and routing forms,
sorting daily mail, and checking voice mail.
- Shall
attend fall and spring training/planning retreats.
- Shall
reserve campus facilities for all association events as directed by the
Executive Team.
- Shall
take attendance at all regularly scheduled meetings and bring to the
attention of the SMUSA Board any excessive absenteeism.
- Will
administer the SMUSA e-mail group account at
smusa@smu.edu.

duties as assigned by the SMUSA Executive Team.
Director of
Marketing/Communications
- Promotes all SMUSA
activities and programs through web, print, and mail. Will present
promotions to the Executive Team for review.
- Utilizes a committee
to brainstorm, design, and distribute publicity pieces.
- Works closely with
Membership Chair to develop volunteer network with marketing pieces.
- Responsible for
photography at SMUSA events and distribution/posting on SMUSA Web page.
- Coordinate designs
between chairs/committees and designer, printer, etc.
- Coordinate general
SMUSA and event publications and programs (design, creation, printing,
distribution, etc.).
- Coordinate between
SMUSA, the purchasing department, and SMU Public Affairs.
- Will be responsible for the SMUSA Newsletter (if applicable) provided to all staff monthly.
- Will work closely with the SMUSA
webmaster to make all necessary changes and updates to
www.smu.edu/staffassociation. These changes will
include, but not be limited to applications, posting announcements, general ease
and use of website, alumni website, etc.
- Shall
attend fall and spring training/planning retreats.
- Shall assume other duties
as assigned by the SMUSA Executive Team.
Committee Chair
- The Committee Chair shall preside over all assigned committee meetings.
- The Committee Chair shall work
with the membership committee for new members for his/her assigned committee.
- The Committee Chair shall sit on
the SMUSA Board and attend monthly Board meetings.
- The Committee Chair shall be the
spokesperson for his/her assigned committee
- The Committee Chair
shall be responsible for their committee budget in conjunction with the
SMUSA Treasurer under the guidance of the Executive Team.
- The committee chair
will work with the SMUSA Treasurer and assigned Vice-President in presenting
a preliminary budget to the Executive Team who will then present a balanced
budget to the SMUSA Board for final approval during the summer retreat.
- The Committee Chairs(s) shall
meet with the assigned or the Vice-President of Programs or Vice-President of
Development on a regularly basis.
- The Committee Chair shall
coordinate committee planning, publicity, and event implementation.
- The Committee Chair(s) shall
attend mandatory training and planning retreats each semester.
- The Committee Chair(s) will hold
interviews for members of the planning committees, in conjunction with the
assigned Vice-President, and provide a recommendation to the SMUSA Board for all
committee positions.
- Will adhere to the
attendance policy set forth by the SMUSA board. Will report excessive
absenteeism to Director of Administration and appropriate Vice-President.
All decisions to remove a volunteer will be submitted to the Executive Team
(as outlined in the constitution) for a recommendation to the board.
- The Committee Chair(s) shall assume other
duties as assigned by the Executive Team.
- Submits items for
approval (keynote speakers, plans, timelines, menus, etc.) for various
committee activities to appropriate Vice President to submit for SMUSA Board
agenda.
- Works with Marketing
and Communications Committee to publicize their respective committee event.
Staff Development
Day Chair
- Proposes keynote
speaker(s) for Staff Development Day Luncheon to SMUSA Board for approval.
Upon approval, arranges for speaker(s) to be booked for the day.
- Oversees a committee
to accomplish the Staff Development Day Event on the date approved by the
SMUSA board during the annual Summer Retreat.
- Proposes and
solicits speakers and presenters (both on-and-off campus) to have
presentation sessions of interest to SMU staff for the day.
- Creates a schedule
of the day including, but not limited to: Opening Session to include remarks
by the current SMUSA President, sessions by presenters throughout the day,
luncheon, booths/tables (if applicable), and a Closing Session (if
applicable). If possible, the University President should always provide
remarks sometime during the schedule. All schedules have to be approved by
the SMUSA Board no later than one month prior to the event.
- Acquires thank you
gifts for presenters, keynote speaker(s), and others involved in producing
the event.
- Coordinates the
audio/visual needs for each presenter and makes room assignments with
Hughes-Trigg Student Center, including booking all areas (ballrooms,
pre-function area/lobby, forum, theater, promenade rooms, etc.)
- Oversees decorations
that implement a theme for that day.
- Acquires door prizes
to be awarded during luncheon or throughout the day.
- Provides the
Luncheon Chair with desired menus that match theme for breakfast session and
luncheon. The Luncheon Chair and Staff Development Day Chair will need to
get the menu approved by the SMUSA board before any final decisions are
made.
- Works with
committee to take-down decorations and any arranged set-ups at the
conclusion of the event.
- Provides/Assigns
people to introduce each presenter and keynote speaker.
- Works with the
membership chair to identify greeters from our general pool of volunteers
for the Breakfast/Opening Session and luncheon in coordination with the
Luncheon Chair and committee.
- Works with
Marketing/Communications Committee to publicize the event.
- Will serve on the
All Staff Awards committee as designated by the Executive Team. Will
provide updates on the progress of the committee, no names of potential
recipients are to be shared with the SMUSA Board.
Recognition Chair
- Produces, with the
assistance of a committee, the Staff Recognition Assembly which is held on
the date approved by the SMUSA board during the annual summer retreat.
- Will be responsible
for the selection of the annual Loretta Hawkins Award to be presented at the
Staff Recognition Assembly. All finalists will be presented to the
Executive Team for review who will then provide feedback to the Recognition
Chair through the assigned vice-president. However all final decisions in
regards to the selection of the award will rest with the Recognition
Committee.
- Requests from the
Human Resources Department the names of individuals who have been at the
University for more than 25 years. These names will be presented to the
Executive Team by the assigned Vice-President.
- Proposes a keynote
speaker(s) for the assembly to SMUSA Board for approval. Upon approval,
arranges for speaker(s) to be booked for the day.
- Creates a schedule
for the day which will be approved by the SMUSA board no later than one
month prior to the event.
- Works with the
Membership Chair to identify greeters from our general pool of volunteers
- Works with
Marketing/Communications Committee to publicize the event.
- Acquires thank you
gifts for presenters, keynote speaker(s), and others involved in producing
the event.
- Works with the
President’s Office in identifying a space for the luncheon, and then works
with the Luncheon Chair in creating a lunch menu for the event.
- Coordinates the
booking of the room in the Owen Arts Center as well as any audio/visual
needs for the keynote speaker.
- Provides a written
outline for all the speakers (besides the Keynote and President Turner),
which should be reviewed by the Executive Team no later than two weeks prior
to the event.
- Works with the
assigned Vice-President and Executive Team in working with the University
President’s schedule to ensure that he will be at the assembly.
- Will attend a
meeting with the SMUSA President, President Elect, and assigned
Vice-President to brief the President of the events surrounding the
assembly.
Scholarships Chair
- Oversees committee
to determine selection of scholarship recipients for the Caroline Jones
Memorial Scholarship in the fall semester of each year. (Recipients must be
selected no later than November 15th of each year.)
- Identifies, in
conjunction with the SMU Financial Aid Office students who are eligible for
the scholarship.
- Will provide
selection criteria to the Executive Team so that a recommendation can be
provided to the SMUSA board for approval.
- Establishes an
application process and review committee to select the final recipients.
- Sets deadlines for
submission/consideration.
- Receives the
scholarship pool and determines recipients.
- After Recipients are
selected by the committee, the chair will forward the recipients through
their assigned vice-president to the Executive Team for feedback and then to
the SMUSA Board for approval.
- Upon approval,
recipients and Financial Aid Office are notified with an award letter.
- Invites the
recipients to be guests of honor at a future SMUSA lunch which is
coordinated with the Luncheon Chair. All complementary lunches must be
approved by the Executive Team prior to any invitation being sent.
- Arranges for a
recipient group photo with the Marketing and Communications Committee.
- Arranges for a story
and bios to be written with the Marketing and Communications committee for
each recipient to be posted in SMUSA communications (website, newsletter,
SMU Forum News, etc.).
Silent Auction
Chair
- Will oversee a
committee that will implement the annual SMUSA Silent Auction each year.
- Will present an
overall plan to the Executive Team before October 1st of each
year. This plan should include all timelines including the official kickoff
of the Silent Auction before March 1st of each year to be
finalized at the President’s Picnic. This plan will also include the target
amount of money that is planned on being raised. This target amount must be
approved by the SMUSA Board.
- Will work with
committee to identify potential sponsors and businesses that will donate
items/services for auction and will need to identify no less than a 100
items for the silent auction.
- Will work the SMUSA
Marketing and Communications Committee to publicize the silent auction.
- Will work with the
SMUSA Webmaster in finding ways to take online bids and to develop a
timeline of how this will work.
- Will work with the
President Picnic Chair and committee to have the final bidding done at the
event.
- Once the auction is
over, will work with the SMUSA Treasurer and assigned vice-president in
money collection.
- Works with Treasurer
and assigned vice president to provide a final report to the Executive Team
no later than one month following the President’s Picnic
Boulevard Chair
- Shall be in charge
of all aspects of the tailgating tent, per our contract with the Athletic
Department.
- Will work with
committee to identify a theme and fun activity for every home game.
- Committee will be
responsible for setup and cleanup of every home game.
- Books the boulevard
tent for the season before August 1st of each year.
- Works with the
Membership Chair to identify volunteers to help with the tent during each
home game.
- Contacts the
Athletic Marketing Department to pick up any marketing materials we are to
have at our tent per our contract with the Athletic Department.
- Will work with the
President Elect and assigned Vice-President to identify potential corporate
sponsors for each boulevard tent.
- Will be responsible
for all food, drinks, and necessary items to make the tent area functional
and welcoming to all SMU staff members.
- Works with Marketing
and Communications Committee to publicize each boulevard tent.
- Works closely with
the Mustang Partners Chair as they will share space during tailgating.
- Will work with the
assigned Vice-President and Executive Team to invite the President to tent
during each home game.
- Will provide a
preliminary plan to the Executive Team for feedback before August 1st of
each year. The SMUSA board will approve the final plan,
Luncheon Chair
- Produces in
coordination with their own committee and with other chairs and committees
the 5 major luncheons that occur annually, as well as any scheduled thank
you luncheons. All dates will be approved by the SMUSA board during the
annual Summer Retreat.
- Coordinates the
menu, linens, and table set-up with SMU Catering
- Acquires lunch
reservations and turns in a final headcount to SMU Catering 72 hrs. prior to
event.
- Receives luncheon
payments and makes final deposit with Treasurer.
- Runs the SMUSA Gold
Program, which allows attendees to prepay for all 5 luncheons (Kick-off,
Talent Show, Holiday, Valentines, Staff Development Day).
- Creates name tags
for attendees and table tents for reserved seats for special guests.
- Primary person
responsible for the Kick-off Luncheon (September), Holiday Luncheon
(December), Valentine’s Luncheon (February), and Tax Celebration Day
(April).
- Acquires keynote
speakers and entertainment (music, etc.) for lunches. (To be approved by the
SMUSA Board.)
- Acquires door prizes
for attendees.
- Creates themed
center pieces for each table to be given away as prizes.
- Creates a theme for
each lunch.
- Acquires thank you
gifts for keynote speaker and others involved in the production.
- Works with Marketing
and Communications Committee to publicize each event, send event reminders,
and create a program for the event.
- Produces the annual SMUSA Bake Sale each year. (Solicits for donations
of baked goods, arranges for set-up and sale, and works with Treasurer to
deposit sales into scholarship /endowed accounts.
Membership Chair
- Coordinates all aspects of volunteer recruitment, selection, and
retention.
- Works with the Marketing and Communications Chair to advertise SMUSA
recruitment in both the fall and spring semesters
- Coordinates the selection and presentation of all internal SMUSA awards
and recognitions. (internal is defined as SMUSA member of the year, Chair of the
year, Committee of the year, etc. etc)
- Coordinates all SMUSA social events (i.e. Tax Day Celebration)
- Maintains the Volunteer/Committee Member interest form to provide contact
information and assess the skills and talents of incoming volunteers.
- Maintains a general volunteer base and keeps a completed interest form on
file for each committee member.
- Acts as the official liaison between the general volunteer base and the SMUSA Board.
- Coordinates, plans, and implements at least one general volunteer
recruitment meeting each semester.
- Implements the SMUSA birthday plan as decided by the SMUSA Board at the
Summer Retreat.
- Provides, in conjunction with SMUSA Executive Team, informational
training for new volunteers in any general sessions during the year.
President Picnic
Chair
- Produces, with the
assistance of a committee, the annual President Picnic which is held on the
date approved by the SMUSA Board during the annual Summer Retreat.
- Selects all events
and activities (e.g. tug-of-war, mummy wrap, hat contest, fashion relay
race, & water balloon toss) during the picnic. These events must be
submitted to the Executive Team so a recommendation can be made to the SMUSA
board for approval.
- Creates a schedule
for the day which will be approved by the SMUSA Board no later than one
month prior to the event.
- Works with the
Membership Chair to identify volunteers from our general pool of volunteers
to serve as greeters or assume other volunteer tasks such as set-up of each
event, etc.
- Works with Marketing
and Communications Committee to publicize the event.
- Works with the
Executive Team and the President’s Office in identifying a space for the
picnic, and then works with the Luncheon Chair in identifying a lunch menu
for the event.
- Coordinates the
booking of the space and any necessary items such as table, chairs, items
for the annual games, etc. etc.
- Provides a written
outline for all the speakers (besides the Keynote and President Turner),
which should be reviewed by the Executive Team no later than two weeks prior
to the event.
- Works with the
assigned Vice-President and Executive Team in working with the President’s

Talent Show Chair
- Oversees a committee
to produce the Staff Talent Show Event to occur on the date approved by the
SMUSA Board during the annual Summer Retreat.
- Proposes and
solicits talent (both performing and non-performing/display talent) of
interest to SMU staff for the day.
- Creates a Talent
Show Program in coordination with the Marketing & Communications Committee
including: names of performers with bios and piece performed, names of
display talent with bios, luncheon menu, booths/tables (for display talent).
- Acquires thank you
gifts for talent and others involved in producing the event.
- Works with the
Executive Team and assigned vice-president in greeting President Turner for
any remarks he may give at the luncheon, if applicable).
- Coordinates the
audio/visual needs for each performer and makes stage and room assignments
with Hughes-Trigg Student Center, including booking any changing areas for
costumes, warm up rooms, storage for boxes/packaging for large display
items (using the ballrooms, pre-function area/lobby, forum, theater,
promenade rooms, etc.)
- Arranges for a
run-through or sounds check with performers prior to event.
- Oversees decorations
that implement a theme for that day.
- Acquires door prizes
to be awarded during Talent Show.
- Acquires a Master of
Ceremonies to introduce each performer.
- Works with Luncheon
Chair to select menu that matches theme for luncheon. (Note: participating
talent will receive complimentary lunches depending on budget and approval
from Executive Team).
- Takes down
decorations and any arranged set-ups at the conclusion of the event with
committee.
- Works with the
Membership Chair in identifying greeters for the luncheon in coordination
with the Luncheon Chair and committee.
Mustang Partners
Chair
- Oversees a committee
to accomplish Athletics volunteering throughout the year. (Includes
ambassadorial/ushering responsibilities on game days at the stadium,
coliseum, or on the Boulevard, as well as any additional staffing for
Athletics sponsored tournaments and events as determined by the Athletics
Contract.)
- Proposes
volunteering schedule for the football and basketball seasons and
determines, with SMU Athletics, the volunteering needs for that day as
approved by the SMUSA/Athletics contract.)
- Attends a weekly SMU
Athletics briefing meeting prior to game day and announces any changes to
the impacted volunteers for that game.
- Conducts a regular
Mustang Partners briefing meeting to train volunteers and provide them
assignments prior to game day.
- Works with
Boulevard Chair to provide a volunteer check-in point for Mustang Partners.
Volunteer check-in includes a place to get water, meet other volunteers in
the changing of shifts and responsibilities, obtain volunteer
T-shirt/credentials needed to work that day, complimentary game tickets, and
receive any instructions regarding assignment changes.
- Regulates the
changing of shifts and reports absenteeism issues to Vice President for
Programs, to be further discussed by the Executive Team.
- Plans a thank you
luncheon for Mustang Partners with gifts. (To be coordinated with Luncheon
Committee).
- Works with Marketing
and Communications Committee to publicize the recruitment of volunteers.
- Works with
Membership Chair on volunteer recruitment.
Fitness/Sports
Chair
- Will coordinate all
fitness/sports programs for SMUSA
- Presents no less
then three (3) fitness/sports events in the fall and spring semesters.
These events can be an intramural event, off campus sporting event, off
campus organized events such as a 5k run, golf/bowling tournaments, etc.
- Presents a semester
plan to the Executive Team by September 1st and January 10th
of each year to Vice President. Vice-president acquires feedback from the
Executive Team. (All events will need to be approved by the SMUSA Board.)
- Will provide a
recommendation to the Executive Team in regards to any potential cost of
each program and how we will offset these costs. (For example, we may charge
a $15 fee per person to play in intramural softball.)
- Will work with the
Human Resources Wellness Program for sponsorship and activity credits.
Planning Committee members

Members are defined as anyone serving as
a volunteer on a SMUSA committee.

Committee members shall attend committee
events and assist with other committee events as needed.

The committee members shall assist with
planning, promoting, producing and evaluating committee events.

The committee members shall attend
committee member training events.

The committee members shall be a staff
member with Southern Methodist University. Other volunteers (such as family
of committee members) can assist in-directly or act as a general volunteer.

Completes an interest form to be kept on
file with the Membership Committee in order to be recognized as a committee
member.

Adheres to the expectations and
attendance policy set forth by each committee chair.
- Submits delegated
items from Chair for approval, and if needed, it will be relayed to SMUSA
Board and/or Executive Team.
General
Volunteers
- General volunteers
will work the specified number of shifts at many of the association
programs/events
- Shifts may include
activities such as decorating, publicity distribution, ushering, greeting,
set-up, and clean-up/take-down.
SMUSA Board
- Includes President
(non-voting, unless a tie must be broken), President-Elect,
Past-President/Staff Forum Chair, Vice President-Development, Vice
President-Programs, Treasurer, Director of Administration, Vice
President-Marketing and Communications, and each committee chair.
- Meets regularly (at
least monthly) to discuss and approve various activities of the Staff
Association.
- Attends the annual
Summer Retreat and participates in the planning process for the year.
- Approves all
committee positions and committee members.
- Supports and
participates in the volunteer recruitment process with the Membership Chair.
- Assists in
conducting relevant training or providing job-related information to
incoming Chairs, Committee Members, general volunteers, and other incoming
officers.
- Attends as many
SMUSA activities as possible during the year in support of the association
and fellow officers, chairs, committees, and volunteers.
SMUSA Executive Team
- Includes President,
President-Elect, Past-President/Staff Forum Chair, Vice
President-Development, Vice President-Programs, Treasurer, Director of
Administration, and Director of Marketing and Communications.
- Meets regularly
(perhaps weekly) to discuss various activities of the Staff Association and
items to be submitted for approval to the SMUSA Board.
- Coordinates with
SMUSA President & Past-President in the effort to handle Staff Association
Issues (use of Staff Forum, etc.).
- Provides research
and background information to assist in the decision-making process for the
SMUSA Board.
- Attends the annual
Summer Retreat and participates in the planning process for the year.
- Supports and
