Procedures



 
1. Web - Maintenance

For website updates/maintenance, please send all requests to email group "DES WebTech". Include the page you would like to update (the URL) and explain in detail what to update/change. Paley or his backup will make the changes on a test page. Once it’s approved and no further changes are required, the current page will be backed up and replaced by the new one, making the new content public.

 



 
2. Web - Development/Revamp

Please contact Joe Papari regarding major website changes/restructuring or new projects.

 



 
3. Issues - Hardware/Software

For hardware issues, PC, Monitors, Laptops, Printers, or multifunction printers send a message to email group "DES WebTech". Paley or his back up will contact you and troubleshot the problem. If we are unable to resolve the issue, we will guide the user to open an appropriate helpdesk ticket. The user will be the contact for the helpdesk ticket, but DES WebTech will follow up with ITS to make sure the issue has been resolved.

 



 
4. Issues - Network/Security/Imaging

A DES WebTech member will be direct contact with ITS for network issues such as requesting IP, data jack installation and activation, and network security.

For issues related to the Imaging software, contact Laura Ries.

 



 
5. Computer Upgrades (Complete Upgrd.)

If your computer is selected for an upgrade then we will notify you to schedule an upgrade time, during which you will not be able to use your computer for half of a day (or even longer depending on the amount of data to backup).

During the upgrade, your old computer will be taken and all data backed up. It is important that you save all of your data inside folder "My Documents" or on the Desktop, or else it may be missed during the backup process. Once the backup is complete, your user profile will be created on the new computer and data copied over. Some personalization data may be lost such as: desktop background, email addresses in Outlook's temporary memory, email signatures, order of bookmarks, browser history, custom messenger emoticons and other program configuration/settings.

Please clear the surrounding of your desktop area to make the computer swap more convenient.

When you computer is returned to your office, you will need to be present to login with your own SMU ID and password to complete the setup.

 



 
6. Other Notes

It is important to email all requests/issues to the "DES WebTech" distribution list to guarantee someone available is able to look at the issue.
