BUSINESS PROCESS REVIEW

AND

BUSINESS PROCESS DECISION DOCUMENTATION

The PeopleSoft Advancement Functional Lead (Associate Director of DEA Operations and Director of Special Projects) provides consultation services to help customers review their business processes to increase their efficiency and to make better use of PeopleSoft Advancement and other administrative systems.  Assistance is available in identifying needs, defining the scope, developing solutions and timelines, and monitoring progress.

If it is determined that an identified need within PeopleSoft cannot be met, there are three options:

To request a modification of PeopleSoft, the following steps occur:

  1. The Functional Lead will present the need to the IMPACT team (Operations functional and technical staff) for approval to proceed with the request.
  2. Once approval is given, a “BPD”, or Business Process Decision Document must be completed.  For the template click: Business Process Decision Document template.  The Functional Lead will work with the customer to develop the request and will provide the technical information needed (tables and fields) by the technical team.
  3. The customer will assist in determining the amount of time and money that will be saved by the modification.
  4. The completed BPD is presented to IMPACT for review.
  5. The Module Lead shares the BPD with the other Module Leads for their information and possible input.
  6. The Technical Lead will look at the proposed modification and will determine the costs to develop and implement it, including ongoing costs of maintenance.
  7. The completed BPD is forwarded to the Steering Committee, who decides whether to approve.
  8. If approved, the Module Lead for Advancement reviews it and the other modification requests with the Technical Team to assign a priority.
  9. The Technical Team works on the modification (this can be a week to 6 months in duration, depending upon the complexity and priority).
  10. The customer as well as the Functional Lead will assign staff to test the modification.
  11. When testing is complete and any errors are corrected, the modification is moved to Production.
