Position Information:

The Integrated Marketing (IM) Coordinator in the Office of Public Affairs handles the accounting responsibilities for the IM team which includes writers, designers and a photography lab that serves the University campus and also provides administrative support for the department’s executive director.  The hours for this position are Monday – Friday, 8:00 a.m. – 4:30 p.m. with one hour for lunch.

Primary responsibilities include, but are not limited to:

  • Serve as Assistant to the Executive Director which includes handling correspondence, setting appointments, coordinating hiring process for department, preparing materials for meetings, preparing budget reports, etc.;

  • Manage student and temporary workers, including processing and approval of all payroll documentation and time cards;

  • Oversight of department budgets which includes completing monthly budget reconciliations, analysis of projected costs compared to budget, and coordination of the annual budget process;
  • Process accounts payables and receivables for department, including the photo lab;

  • Ensure vendors are paid in a timely manner and campus clients are cross-billed promptly;

  • Maintain and reconcile, to the highest standard, records for all department and client job expenses;
  • Provide maintenance of the FileMaker client records database including handling daily updates, generating job reports, expanding database when needed and assisting with year-end close job closing process;

  • Handle eProcurement process with purchasing office and communicate guidelines as needed;

  • Handle cross-billing and payments of advertising work with advertising vendor which includes working with agency as needed regarding invoices;  
  • Manage procurement card process for team;

  • Manage fiscal year-end close process duties as required for the department;

  • Facilitate team travel and processing of travel documentation;
  • Arrange general maintenance for the office which includes managing resources for office files and keeping records organized and updated;

  • Other general administrative and accounting duties as required.

Qualifications: 

High school diploma or equivalent is required. Bachelors' degree is strongly preferred.   A minimum of two years' work experience is required, preferably in accounting or bookkeeping role.  Some experience providing administrative assistance to a person in an executive role in a professional office environment is desired. Experience with budget management, creation and/or reconciliation is preferred.  Experience with accounts payable is required.  CPA accreditation is a plus.  Experience in a client services environment or as support in a fast-paced team environment preferred.

Candidate must demonstrate strong verbal and interpersonal communication skills in order to effectively interact with staff, vendors, student workers, accounting office, financial office and campus-wide clientele.  Must also demonstrate the ability to communicate effectively in writing.  A strong customer service orientation is essential.

Candidate must demonstrate strong problem-solving skills with the ability to be resourceful, proactive and seek assistance as needed.  Must also demonstrate strong organizational and task management skills. A strong focus on attention to accuracy and detail is essential.

Candidate must demonstrate a strong proficiency with MS Word, Excel, spelling and grammar, and attention to detail.

Experience with FileMaker Pro is highly desired. Experience working in Outlook calendar preferred. Experience with PeopleSoft Financials and/or Power Point is a plus.
