Position Information:

This position provides administrative support to the Executive Director for Development Services and handles various administrative and financial processes for the Development Services teams.

Primary responsibilities include, but are not limited to:

  • Assisting the Executive Director of Development Services in providing administrative leadership to a staff of 30+ personnel in four units;
  • Departmental staffing, training and general office management, accounts payable and monthly expense reconciliation for the division;
  • Coordinating travel, conferences, group events, and scheduling;
  • Purchasing, contracts and budgetary responsibilities; running and distributing reports;
  • Assisting Executive Director in developing and implementing processes that effectively manage staff resources and documentation; and
  • Other duties as assigned.

Qualifications: 

Bachelor's degree is preferred. A minimum of two years' work in providing administrative support is required, preferably in a development office, in a nonprofit environment or in a fast-paced office with high visibility.

Experience with general bookkeeping, budget management, and travel arrangement is highly desired. Work experience that includes staffing and supporting a senior executive in a mid-size office is strongly preferred. Experience working with a large constituent or customer database is strongly desired. Experience working in a fast-paced team environment highly desired.

Candidates must demonstrate strong interpersonal and verbal communication skills with a strong customer service orientation. Must also demonstrate strong grammar and written communications skills with a focus on attention to detail. Must demonstrate strong problem-solving skills with the ability to be resourceful and independently seek alternatives and solutions. Must also demonstrate strong organizational and task management skills.

Candidates must demonstrate strong analytical skills with the ability to evaluate accuracy of reports and other documents. Must also demonstrate a professional demeanor. Familiarity with traditional and electronic filing methods is essential. Must demonstrate proficiency in MS Word and Excel. A working knowledge of PowerPoint and Outlook is essential.
