Position Information:

The Advancement Associate reports to the Assistant Dean for Development and Communication in the Lyle School of Engineering and Business Development and provides communications and stewardship of donors and volunteers, as well as administrative support to the Director and Assistant Directors responsible for the major gifts fundraising goals of The Second Century Campaign.

Primary responsibilities include, but are not limited to:
  • Maintaining communication and providing support and materials for donors and volunteers;
  • Completing gift transmittal forms and maintaining engineering endowment reports (in coordination with the SMU Endowment office);
  • Assisting with planning and execution of donor appreciation events;
  • Assisting with donor relations for all Lyle School programs and facilities in partnership with the Office of Donor Relations;
  • Providing general administrative support including research, tracking, cultivation, prospect management, drafting of correspondence including acknowledgement letters to donors and prospects, appointment scheduling, travel arrangements, meeting agenda preparation, general office duties and other duties as needed to support team; and
  • Producing regular weekly reports, including giving and contact summary queries, budget performance and monthly budget reconciliation, etc.

Education and Experience:

Bachelor's degree preferred. A minimum of two years of work experience is required, preferably providing clerical and administrative support in an office environment.

Knowledge, Skills & Abilities

Candidates must demonstrate strong verbal, interpersonal and written communication skills. Experience drafting letters and other business documents is essential.

Candidates must possess strong organizational skills with the ability to multi-task in a fast-paced office environment. The ability to disseminate information into precise and effective written communications is essential.

Candidates must be self-starters with the ability to work independently and with initiative. Must also have the ability to learn new applications quickly.

Candidates must demonstrate proficiency in Microsoft Word, Excel, spelling and grammar. Must also demonstrate initiative and the ability to work independently without direct supervision.

Work experience supporting a sales-team or in a fast-paced team environment is preferred. Work or volunteer experience with a nonprofit and/or volunteer management experience is a plus. Knowledge or experience in database management (e.g. Blackbaud and Filemaker Pro) is preferred. Travel management experience highly desired. Budgeting/accounting experience is a plus.

Knowledge of calendaring software desired, preferably with Outlook. The ability to learn new applications quickly is a plus.

The ability to speak and write articulately and persuasively with passion for the cause of higher education and its need and opportunities is desired.
