Copy cataloging CHECKLIST for 050 and 090 music scores

 

N.B. -- Only copy catalog music scores with an Encoding Level (ELvl) of ‘blank’ or ‘I’. If the ELvl is anything other than that, give to the music cataloger.

 

Procedures:

1. Find the record in Voyager.

2. Find the record in OCLC Connexion.

Check for a more current/complete/correct record in OCLC Connexion. If there is one, download it to Voyager and overlay it onto the record that currently exists. See Importing OCLC Records for more details.

3. Verify the information.

Verify that the information contained in the following fields is correct, and add if necessary:

The music/publisher/plate numbers can be found in a variety of places, including the cover, back cover, title page, title page verso, colophon, and at the bottom of the score. Use 1st indicator of 0,2,3,or 5 and 2nd indicator of 2.

 

050/090

Make sure the call number fits into the existing collection, and is uniform with other similar pieces by the same composer, including the first cutter number, if necessary. See Music Scores Call Numbers for guidelines. If the call number is M1, M2, or M3, or there is no call number listed, give to the music cataloger for classification.

This statement is used to represent a physical format of the music, to distinguish it from other physical formats. Such formats may include score, parts, study score, etc. This statement does not include information about the content of the music, such as arrangement, edition, version, etc.

 

4xx/8xx

If a series title exists, search Voyager and OCLC Connexion for a series authority record. If one exists in Voyager make sure the form in the bibliographic record matches the heading in the authority record. If one exists in OCLC Connexion but not Voyager, import it to Voyager (See Importing OCLC Records). If one does not exist in either Voyager or OCLC Connexion, make a note of that and give to the music cataloger for authority work.

Verify/Add contents if the item contains more than one work.

Verify that the subject heading(s) match the content of the item.

Verify that the names and name/titles (if applicable) are accurate and match the item.

 

740

Verify/Add analytical titles if necessary (i.e. there is no collective title for an item that contains more than one work).

 

4. Mark as “OK to export”.

In Voyager, click on the “System” tab, and check the box marked “OK to export”. Click “Save to DB”, then “Continue”.

5. Create holdings and item records.

6. Prepare for end processing.

See Preparation for End Processing for instructions.

7. When finished, give all items to music cataloger.
