gift / donor notes

 

This document covers the addition of the 590 field identifying a gift acknowledgement for the title cataloged.  It is used to provide access for the public and for CUL staff for chosen materials.

 

Policy

Not all gifts or materials purchased with donations have a donor note.  Donor notes are added only at the specific direction of the collection development staff.  Collection Development staff should include directions when delivering the materials that require the note.  Project Management staff will obtain the information from Project Request forms for materials received as a collection project.

Form

All 590 donor notes must include the word “Gift” in order to provide access.

Content

The specific text of the 590 note is provided by the Collection Development staff member.

 

            Ex. 590 _ _ |a From the collection of Stanley Marcus, former owner. Gift of Linda Marcus, 2003.

 

Add the word Gift at the beginning of the note if the specific text provided by the Collection Development staff member/Donor does not include the word.

 

            Ex. 590 _ _ |a Gift: The Lynn Haire Smith Film Series in memory of Jerry M. Smith.

 

Use the standard form below if no specific text is requested.

 

            Ex.  590 _ _ |a Gift of: [name].

 

Add a gift note without concern for distinguishing information when a gift copy is received for a title already cataloged for a collection. Use distinguishing information if copies are in different locations in the processing unit.

 

            Ex.  590 _ _ |a Gift of: The E. Howard Parsons Collection.

[additional copy added to bib record for purchased item or gift with no donor note]

Ex. 590 _ _ |a Fort Burgwin copy gift of: Professor Fred Wendorf.

[1st copy received cataloged for Science, gift copy for Fort Burgwin]

 

Add distinguishing information to a gift note when select volumes of a set are received as a gift.

 

            Ex.  590 _ _ |a Volume 3 gift of the estate of Michael L. Rosenberg.

            [single volume of a set was received as a gift, library owns other volumes]

            Ex.  590 _ _ |a Volumes 2 and 4 gift of: The E. Howard Parsons Collection.

            [multiple volumes of a set were received as a gift, library owns other volumes]

 

Use multiple 590 donor notes when multiple copies of a title are held and each requires donor notes. Use distinguishing information if possible.

 

            Ex. 590 _ _ |a Stanley Marcus Collection copy from the collection of Stanley Marcus, former owner. Gift of Linda Marcus, 2003. [housed in Marcus collection]

                  590 _ _ |a Gift of: Ima Honaker Herron.  [housed in regular DG collection]

 

The donor may wish to be anonymous in which case the note may contain only the name of the honoree or person memorialized.

 

            Ex. 590 _ _ |a Gift in memory of Ruth Kraemer, Ph.D. in art history and longtime researcher at the Pierpont Morgan Library in New York, 1908-2005.

           

The specific text of a note created for a collection project is used consistently for all items in the collection.

 

Ex. 590 _ _ |a Gift: The Lynn Haire Smith Film Series in memory of Jerry M. Smith.
