MEMBERSHIPS, BLANKET ORDERS, PACKAGE PLANS AND COMBINATIONS

 

MEMBERSHIPS

Create the purchase order (PO) for the membership, with “MB” preceding the purchase order number; PO Type is “Continuation”.  If the Vendor for the Membership is new, a Vendor record must be created in Acquisitions to be added to the purchase order.

A bibliographic record for a membership is necessary in creating a purchase order.  If there is not a bibliographic record in the database, create a record using the membership template.  Suppress the bibliographic record from the OPAC.   Add (Line BiB Search) to the purchase order.  Since payment is usually made on the membership purchase order, the purchase order must be approved.

Memberships may bring in multiple types of publications, or a publication may include a membership. Each title or publication has its own separate purchase order. These purchase orders will contain two line items: the item itself and the membership added as the second line item.

BLANKET ORDERS

Create the purchase order with the BL prefix preceding the PO number; PO Type is “Continuation”.  Blanket order materials are treated like standing orders.  The assigned title is usually the name of the publisher that has offered an undetermined selection of materials.  This tends to be a subject-based coverage plan.  Create a bibliographic record using the blanket template and suppress record from the OPAC.  Add (Line BiB Search) to the purchase order.     Unnumbered titles are grouped together on a purchase order with the blanket order line item added and approved.  Numbered titles have separate purchase orders for each title with two line items: the item itself and the blanket order added as the second line item and approved.

PACKAGE PLANS

Create the purchase order with the PK prefix preceding the PO number; PO Type is “Continuation”.  Package plans contain specific titles.  On the bibliographic record, the assigned title is usually the name of a group of titles offered by a vendor/publisher as a set plan.  Create a bibliographic record using the package template and suppress record from the OPAC.  Add (Line BiB Search) to the purchase order. Since payment is usually made on the package purchase order, the purchase order must be approved.
 Each title has its own separate purchase order, which remains pending.  The package plan title is added as the second line item on the purchase order.

COMBINATIONS

Create the purchase order with the CB prefix preceding the PO number; PO Type is “Continuation”. 
On the bibliographic record, the assigned title is usually the name of a group of titles offered by a vendor/publisher as a set plan.  Create a bibliographic record using the combination template and suppress record from the OPAC.  Add (Line BiB Search) to the purchase order. Since payment is usually made on the combination purchase order, the purchase order must be approved.  Combinations may bring in multiple types of publications.  Each title has its own separate purchase order, with purchased title added as the second line item, which remains pending.
