W-4 Information

W-4’s are the documents that determine an employee’s use of the IRS tax tables.  The rules for W4’s and IRS taxing tables may be found in the Circular E Publication from the IRS.

Below are some very general guidelines:

If a person does not turn in a W-4, they must be taxed at Single and Zero (S-0).

The form must be filled out completely.  If not, it is invalid and cannot be accepted and the person is taxed at Single and zero.

PAYROLL CANNOT ACCEPT A FORM WITH A PERCENTAGE OR A FLAT AMOUNT.  It is illegal to do so and has been since 1987.

PAYROLL CANNOT ACCEPT A FORM THAT HAS BEEN

W4 forms must be on the form for the current year (There will be some leeway around the end of the year).

Exempt forms must be completed every year on the correct year's form (2005 exemption on a 2005 form). New forms must be in place by February 16th or the current tax year or the employee will be placed back at Single and Zero (S-0).
