It is important that you keep your personal information updated in the HR/Payroll system at SMU, reflected in access.smu.edu.
·Your home address is reflected on your pay statement, which you may need to use to demonstrate your current employment at SMU.
·Your mailing address will be used for the mailing of your Form W-2 in January, for your tax filing purposes.
·Your W-4 elections determine the calculation of federal income tax withholding from your paychecks.
·Your direct deposit account information directs where your net pay is deposited each pay day.
·Your social security number is used to report your wages and taxes as required by various federal and state agencies.
To update your personal information in access.smu.edu, please use the following tools:
You can update your Home and Mailing addresses online via the Self Service area of access.smu.edu under Personal Information. Be sure to update both addresses as appropriate. If you are unable to update your information via Self Service, you may submit the changes on paper using one of the following forms.
Address Change Form (for temporary employees including students and adjunct faculty)
Address Change Form (for benefit-eligible staff and faculty)
You can update your W-4 elections online via the Self Service area of access.smu.edu under Payroll and Compensation. Please note that the new information will be submitted immediately, but may not be reflected on the next paycheck if we are in the middle of processing a payroll. If you are unable to update your information via Self Service, you may complete a paper Form W-4 and submit it to Payroll. Please refer to the IRS instructions to ensure the form is completed properly.
Direct deposit change
To submit a change to an existing direct deposit account(s), you must complete a new Direct Deposit Authorization and submit it to Payroll for processing. The entire form needs to be completed, even if some of the existing account information is to remain the same. However, a voided check is unnecessary if the checking account information is not changing.
Social security number correction
It is absolutely essential that SMU has the correct social security on record for you. If you need to have your social security number corrected, please contact the appropriate department based on your primary relationship with SMU:
· Student – take proof of your social security number (your SSN card) to Jean Porter at the Registrar’s Office (in the Blanton building)
· Benefit-eligible staff and faculty – take proof of your social security number (your SSN card) to the Department of Human Resources (in Expressway Tower)
· Temporary staff and adjunct faculty – take proof of your social security number (your SSN card) to the Payroll Department (in Expressway Tower)
